There's no universal equipment list for an indoor entertainment venue
I've watched a 4,000 sq ft creator studio and a 22,000 sq ft multi-zone complex buy nearly identical audio racks and get wildly different results. Same gear. Different operating model.
So "what should I buy" is the wrong question. The right one is "what kind of venue am I actually running?" Because the answer changes everything — the audio setup, the strength equipment, even how often you oil a treadmill.
Quick background: I'm a procurement manager at a 60-person venue operations company. I've managed our equipment budget — roughly $240,000 annually across audio, strength gear, and maintenance — for six years, and negotiated with 40+ vendors. Here's how I actually break it down.
Three scenarios. Most venues fall into one:
- A: Boutique / creator-focused — under ~6,000 sq ft, music or small-group fitness programming, fewer than 150 daily users
- B: Mid-size multi-zone — 8,000–15,000 sq ft, mixed programming, 150–350 daily users
- C: High-traffic commercial — 15,000+ sq ft, 300+ daily users, equipment running 14+ hours a day
Pick the wrong one and you either overspend on durability you'll never test, or you save money up front and replace the whole floor in 18 months.
Scenario A: the boutique venue (under 6,000 sq ft)
Small venues baby their gear compared to a commercial gym floor. A treadmill that sees 20 users a day does not need the same service interval as one that sees 200.
Audio — this is where you spend. I went back and forth between the Moog Sound Studio 2 bundle and building a component system from separate pieces for about three weeks. The bundle was simpler: one order, one warranty path, everything designed to work together out of the box. The component build offered more flexibility but three support contacts instead of one. We went with the bundle. Not because it sounded dramatically better — honestly, it didn't — but because when something breaks on a Saturday night, I want one phone number.
Strength equipment — this is where you don't spend. Buy one good deadlift barbell, not four mid-tier ones. At this volume you're rarely running two platforms at the same time for long stretches. One bar with decent knurling and a real warranty covers you.
Cable machine attachments are the classic overspend trap. Four items actually get used: rope, straight bar, V-handle, D-handles. Buy four D-handles instead of one, because they walk off. Everything else — the ankle straps, the specialty grips, the rotator cuffs — sits in a bin for two years and then gets thrown out. That's it.
Treadmill maintenance: oil every 3 months or every ~150 miles, whichever comes first. Silicone-based lubricant, not WD-40 — WD-40 is a solvent and it will degrade the belt over time, which is a fairly expensive mistake. Fold the deck, run a thin line of lubricant across it, walk on it at 2–3 mph for five minutes to spread it. Five minutes of work. Do it on a schedule and you'll get years out of a belt that would otherwise be replaced every 18 months.
Scenario B: the mid-size venue (8,000–15,000 sq ft)
This is where most operators get it wrong, and the mistake is counterintuitive.
Standard advice says buy the flagship audio system. One great rig, better sound, fewer compromises. I used to believe that.
The problem is scheduling. In a multi-zone venue, one system can only be in one place at a time. When we had a flagship setup in the main room and a cheap one in the secondary space, staff ended up hauling the good gear back and forth between events. Moving gear is how gear breaks.
So: two mid-tier systems beat one flagship in this scenario. Buy redundancy, not peak performance. The second system costs less than the flagship, and it eliminates the borrow-and-return cycle entirely. We stopped replacing cables every quarter after that change.
Strength equipment: this is the scenario where plate-loaded cable machines start to make sense over stacked units. More flexibility per dollar, and you can add stations incrementally instead of committing to one big configuration.
How to oil a treadmill at this scale: 150–350 daily users spread across a handful of units means the belt runs hot and the deck stays warm through the day. Every 4–6 weeks, not every 3 months. Check belt tension at the same time — a loose belt on a well-lubricated deck will still slip and wear the drive motor. Two minutes per unit, once a month, done by whoever opens the floor. We put it on a checklist and cut treadmill motor replacements from three a year to zero.
Scenario C: the high-traffic commercial venue (15,000+ sq ft)
Right, this is where the conventional advice breaks down completely.
The common belief is "buy commercial-grade, it lasts longer." That's sort of true, but it's not the whole story. Here's the reversal: in a venue running 300+ users a day, everything wears out on a schedule. Premium gear wears out slower, but it does not wear out never. And premium gear costs more to replace when it finally does.
What actually matters at this scale is parts availability and service response time, not initial grade. A mid-tier barbell you can re-knurl or replace for a few hundred dollars often beats a premium bar you have to ship back to the manufacturer and wait six weeks for. We learned that the hard way in Q2 2024, when a single back-ordered component took a rack out of service for 41 days.
This was true 15 years ago, when commercial equipment had a massive durability gap over mid-tier lines. Today that gap has narrowed considerably — and the service gap has become the bigger variable. So ask about the parts pipeline before you ask about tensile strength.
Per FTC guidelines (ftc.gov), advertising claims must be truthful and substantiated. But "commercial grade" is not a regulated term — there's no standard it has to meet. It means whatever the vendor wants it to mean. Ask for the spec sheet and the written warranty terms.
Budget split I'd use here: roughly 60% equipment, 25% spare parts inventory, 15% maintenance contracts. Most venues run closer to 85 / 5 / 10 and then panic-order parts at retail when something fails on a Friday night. That panic pricing is where the real overruns come from — in our own tracking, nearly two-thirds of our "budget overruns" traced back to emergency purchases, not to the original quotes.
Audio at this scale: redundant, not flagship. Two identical mid-tier systems in permanent installs. Label every cable and keep spares of the three that fail most — XLR, TRS, and power. Cheap insurance.
Treadmill oiling at C-scale: weekly inspection, monthly lubrication, or hand it to a service contract. At 300+ users a day the labor math changes — paying your own staff 20 minutes per unit per month adds up faster than the contract does. I ran that calculation twice because I didn't believe the first result. It wasn't close.
How to tell which scenario you're actually in
Don't guess from square footage alone. Ask three questions:
- Peak concurrent users. Not daily total — how many people are on equipment at the same time during your busiest hour? Under 15 means A. 15–40 means B. 40+ means C.
- Hours of operation. Under 10 hours a day, you're A or B. Over 14, you're in C territory regardless of square footage.
- Who maintains the equipment? If it's your own staff doing it alongside their main job, you're A or B. If you have — or need — a dedicated technician, you're C.
If you land between two scenarios, round up on durability and down on features. Features are easy to add later. Rebuilding a floor is not.
One last thing, and this took me too long to learn: the vendor who says "this isn't our strength — here's who does it better" is worth more than the one who quotes you on everything. I had a rep tell me plainly that their cable attachments weren't the right fit for our volume and point me toward a competitor. We've bought from them for four years since. I'd rather work with a specialist who knows their limits than a generalist who overpromises.
