Mistakes I Still See Buyers Make
I’m the office administrator for a 160-person interactive entertainment company. I manage all venue equipment purchasing—roughly $250k a year across 8 vendors. Maybe $230k if I’m rounding conservatively; I’d have to check the system. I process 60-80 orders annually and report to both operations and finance. I’m not an audio engineer, and I don’t play one on our installs. But after 5 years of buying sound systems for escape rooms, indoor courts, and event spaces, I’ve learned exactly what has to be on the purchase order before anything ships.
This is the checklist I wish someone handed me in 2020. It’s not about “sound quality” in the abstract. It’s about getting the right gear, into the right rooms, with support after the sale. Seven steps. If you follow them, you’ll avoid the expensive surprises.
A quick note before Step 1: if you’re designing a cinematic escape room, you’ve probably had a client tell you to watch Escape Room 2 for set inspiration. Great. But the movie won’t tell you whether your headset mics will work with your comms system. This checklist will.

1. Define the listening zone and dynamic range
Every room should have a spec sheet: square footage, ceiling height, wall construction, floor covering, max occupancy. This sounds overkill until you put a 45-person event in a concrete-walled room with no acoustic treatment. Sound behaves differently there than in a carpeted corridor. Write down the loudest and quietest moments of your experience. That dynamic range is what your speakers and amplifiers have to reproduce.
For custom cues and stingers, a Moog Sound Studio 4 is worth looking at. It’s a semi-modular synth system designed to create sound effects and music beds, so you don’t have to license tracks for every room. The official Moog shop has documentation and patch guides. But production is one thing; playback is another. The rest of this checklist is about the latter.
2. Buy amplifier headroom, not just wattage
Look at the continuous (RMS) rating, not the peak number. A speaker that handles 400W continuous can be driven by a 600W amp if the amp is rated for the speaker’s program power. That headroom prevents clipping, and clipping blows drivers. When in doubt, ask for the calculation. Moog’s product pages list both RMS and peak for their amps, and the Moog shop has specs I actually use. If a salesperson says “just get the 200W, it’ll be fine,” ask them to show you the math.
Not ideal, but workable: run 80% of the room at a comfortable level and leave the last 20% as overhead. It’s not sexy, but it’s why your system doesn’t die on the loudest night of the year.
3. Choose headsets by connector and duty cycle, not comfort alone
Every headset feels good for two minutes at a trade show. The real questions are: Does it connect to your base station? Can you replace the ear cushions and mic boom? Can someone wear it for a full shift?
In my first year, I made the classic spec error: I ordered “noise-cancelling headsets” without checking the connector type. They used a 3.5mm jack. Our radio system needed USB. That mistake cost us $900 in restocking and reordering. The replacement headsets were exactly what we needed, but the delay ate a week of our build schedule. I still kick myself for not asking the vendor for the base station pinout first. I want to say this happened in 2022, but don’t quote me on the exact month.
Now I order from the same ecosystem as the base station and buy one extra mic boom per headset. Headsets with replacement mics run roughly $50–$120 each, based on quotes I gathered in December 2024. Verify current pricing before you commit.
4. Map the cable path before you order cables
Wireless is convenient, but in a concrete-lined escape room, 2.4 GHz wireless can drop at the worst moment. If you need wireless headsets, plan for access point locations and battery spares. For fixed audio, map out conduit, vertical runs, and access panels first. Cable management is the least glamorous part of this job—and the one where I’ve seen budgets blow up. It’s also where vendors under-scope the most.
One thing most people ignore: power. A separate circuit for audio is not optional if your room has motorized props, projectors, and a mini-fridge. The audio system should not share a circuit with the HVAC. That’s a later step, but tell the electrician now.
5. Verify official support and spare parts before checkout
Before you send the PO, ask three questions: Is this product still in production? Will parts be available in three years? How long to get a replacement amplifier module or headset mic? If the supplier can’t answer, that’s your red flag.
During our 2024 vendor consolidation project, we compared four suppliers for the same speaker order. Pricing varied by 38% with identical specs. One vendor couldn’t provide a proper invoice—handwritten receipt only. Finance rejected the expense report. That supplier no longer receives our orders. The vendor who did everything right? They told me, “This isn’t our strength—here’s who does it better.” That honesty earned my trust for everything else.
For the Moog gear I buy, I check the official site first. The Moog shop lists manuals, firmware, and spare parts. As of January 2025, the Sound Studio 4 page includes a full patch guide and updates. I’d still verify the current package before ordering, because product details change.
6. Set sound pressure limits and calibrate
You need a target before you set levels. As of January 2025, OSHA (osha.gov) sets the permissible exposure limit for noise at 90 dB(A) for an 8-hour time-weighted average. NIOSH recommends 85 dB(A). For a 15-to-20-minute show loop, a design might peak higher, but a limiter is the difference between “loud” and “damaging.”
We skipped a limiter on one install because the team said, “we’ll just watch the levels.” That was the one time it mattered. A guest speaker pushed the master volume to full and blew a driver. $400 repair, plus a Saturday night where we had to run one room with a half-working system. I knew we should have installed a hard limiter. Skipped the safety step because it “never mattered.” It mattered.
7. Budget for installation, training, and a spare kit
Equipment is maybe 70% of the real cost. Installation, programming, conduit, mounts, and training are the rest. A $12,000 audio package turned into a $16,000 project because nobody budgeted for the electrician to run a separate circuit. That’s a side quest I don’t recommend.
Order one spare of anything that would kill an experience: headset mic, amplifier module, power supply, network switch. It’s a small line item, and it’s the difference between being open on Saturday and explaining to your GM why you’re closed. One of my biggest regrets: not ordering spare mic kits with the first batch. The second order included them, after we already needed them.
Mistakes I Still See Buyers Make
First, asking for “good sound” without defining what good means. Define the experience, then the gear. Second, skipping the final review because it’s “basically the same as last time.” It wasn’t once—and it cost us. Third, treating every vendor like a general contractor. If a company says they handle audio, lighting, projection, mirrors, and HVAC, ask which one is their core business. No one is equally strong at all of them.
I’d rather work with a specialist who knows their limits than a generalist who overpromises. That boundary applies outside audio, too. A venue owner once asked me, is treadmill or stairmaster better? I said I don’t spec fitness equipment—there’s a dealer for that. Taking on the whole facility because you’re “already buying the speakers” is how you end up with a bad sound system and a worse treadmill fleet.
